SUMMARY:  Under the direct supervision of the Sales Manager and in accordance with established performance goals, the Equipment Estimator (EE) shall have the responsibility for the overall planning, organizing, leading and controlling of assigned and specific projects, whether single jobs or major integrated production lines. Actions will range from sales design and layout to researching material and component options, processing quotation revisions, Sales Order Changes, obtaining on-site dates, and template development & maintenance.  As a member of the Sales team, the Equipment Estimator will support the profit goals of the HMI by placing those goals foremost when interacting with others at all levels. The Equipment Estimator will contribute to an environment that fosters teamwork and enhanced task accomplishment through communication and coordination with managers of other departments on items such as safety standards; quality control standards; product and line development; promoting the image of HMI and all of its affiliates as a leader in the industry.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

  1. Pre – Sale: The Quote Process
    1. Assist Sale Person (SP) in writing, acquiring, and insuring the accuracy of RFPI information. If required, make direct contact with the client to obtain information.
    2. When required, convert the RFPI information into a workable process flow and equipment list required for the quote.
    3. When required, convert the RFPI information into a Sales Layout Drawing with basic plan and basic elevation views of the process. If receiving a drawing from a SP, check for accuracy.
    4. Develop EF&M (Engineering hours budget, Fabrication hours budget, Materials budget), matrix for “one off” machines or adjust an existing EF&M matrix for existing machines that have modifications.
    5. Ensure the Process Parameters (voltage, products, pph, etc) are defined on the quote.
    6. Ensure the “Process Flow Description” (describe process/scope, and identify control drawing, “DXXXXRxx.dwg”) is defined on the quote.
    7. Ensure that Customer Supplied info (bagger drawings, scale drawings, bag sizes, information needed to complete project) is identified and obtained as required to maintain project schedule.
    8. Ensure “Photos of existing conditions” are identified and obtained as required to maintain project schedule.
    9. Ensure “Documentation of Physical Locale” information (Layout dim’s, doors, access, power, ceiling ht, drains, columns) are accounted for, if not available, develop a plan to obtain, by quoting onsite trip, or having Sales Person acquire.
    10. Ensure “I:\Quotes\”File Organization” (naming, location, structure, vendor quotes, quote options) is organized and cleaned up per “Sales Files Organization Guideline”, reference drawings are deleted as required, down rev’s are maintained and deleted when applicable.
    11. Ensure “Quote Drawing” is developed per established guidelines, (organization, references, options, elevations, blocks correctly named, current drawing name matches quote# and rev# in the D<quotenumber>R<rev#> format.

 

  1. Post – Sale: The Sales Order process
    1. Complete Sales Order Check off List prior to processing the Sales Order, Ensure Quote conforms to HMI standards prior to processing internally.
    2. When required, attend Sales to Engineering Hand-Off meeting. Provide copies of all key documents, take notes as developed during the meeting, make equipment description changes as identified in the meeting within 24 hours.
    3. Works with Project Engineer (PE) to add or combine work orders as required to meet manufacturing requirements. Adjust EF&M budgets as required for these changes, communicate with sales person to determine if change is a “No Charge add” or, if this needs to be added to the project and invoiced.
    4. Approves drawing release package in the absence of the SP, review Assembly drawing and BOM to ensure design matches Sales Description, approve OEM purchases, inform SP of all items approved on their behalf.
    5. When required, resolve Costed BOM issues either under or over with SP. Process Change Order if required and document actual cost for future estimates.
    6. When required, follows projects to completion as it flows through each department and assists SP in project management duties as assigned; communicates schedule changes to sales person, reviews overruns on budgets with SP, insures completion of change orders are completed to keep project on track.
    7. When require, provides key communication link between SP and Engineering, Production, Accounting, and customer, once a project is sold.

 

  • Product Line Management
    1. Represents Sales for the product line as assigned.
    2. Reviews content of design guide for each item quoted, if not updated presents source information to engineering to add content for future use.
    3. Works in partnership with engineering and manufacturing as a product line representative(s).
    4. Adds content to the design guide (sales how to quote guide), recommends new machines, ensures current machine are the standards being quoted.
    5. Acts a Sales Technical Support for the product lines assigned, handling service calls and assisting Customer Service as required.
    6. Updating design guide as required.
    7. Is proactive in requesting updates/changes to the design guide if the information is missing, incorrect, or needs clarification.
    8. Represents Sales at Product Review meetings for machines assigned.
    9. Updates Quote templates as needed and works in partnership with other EE’s and AE’s to continually improve the quoting process.

 

  1. Sales Administration
    1. Maintain Sales Quote Process Tracking Que
      1. Update status of quotes assigned via the note field for any changes of status.
      2. Manage Quote completion date as requested by SP.
  • Communicate expected quote completion date to SP, identify issues in order to meet requested date.
  1. Example: when quote is ready for review, change status from AE to SP, add note for SP that quote is ready for him to review.
  2. Continually monitor the AE que and proactively work with other AE’s & EE’s in the department to “get the quotes out”.
  1. Time Tracking – Update “TimeClock Plus” daily with time and correct charge to number. Monitors work time and takes lunch within state mandated guidelines.
  2. Assists CSR’s with processing sales orders and technical issues when requested by SP.
  3.  QUALIFICATION REQUIREMENTS

    Education and/or Experience: 

    • Associate’s degree (AA) or equivalent from Two‑year College with concentration in engineering. Experience in Sales of associated products and their applications.

    Computer Skills:

    • Must be computer literate with personal computers. Must have AutoCAD, Word, and Excel skills.  Must have the ability to quickly learn specific software.

     

    Language Skills:

    • Ability to respond to basic inquiries from the public, co-workers, and business affiliates. Ability to read and write memos and correspondence that conform to prescribed style and format. Ability to effectively present information to management, co-workers, and business contacts.

     

    Mathematical Skills:

    • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

     

    Reasoning Ability:

    • Ability to define problems, collect data, establish facts, and draw valid conclusions.
